VIEWING AND PRINTING THE FAD REPORT ON X/PTR

Preliminary FAD

Academic Departments
Review the Preliminary FAD report for accuracy and completeness. If the appropriate faculty forms have been processed and there appears to be a discrepancy contact your Dean's office.

Faculty and Course data collected prior to the Final FAD will be officially reported to the Chancellor's Office.

Final FAD

The Final FAD report is available for viewing and printing through X/PTR. Instructions for locating and printing the report through X/PTR are available on our website (http://www.calpoly.edu/~inststdy/fad.htm). For assistance accessing X/PTR contact Patty Van Belleghem at X6-2204.

FAD reports are retained on X/PTR for six years. Some of the older reports need to be restored before accessing them. Contact ITS/Data Control if you need a report restored. Contact Linda Neill for access to FAD reports older than six years, as these are not available on X/PTR.

If you do not have a mainframe printer available, print to the LOCAL printer at the Computer Center. The report will be delivered to you through Campus Mail. Academic Departments may contact their Dean's Office to print the report.

If your report does not print in the correct format contact your LAN Administrator. Your printer definitions, such as font size (Fit-To-Page) and the Orientation (Landscape), may need to be changed. For additional assistance, your LAN Administrator should contact ITS Mainframe Support at x6-5545.

Faculty changes received by Academic Personnel after the Final FAD will appear in the campus database but not in the Chancellor's Office file. Related correspondence will be retained for possible audit review.


Viewing and Printing the FAD Report on X/PTR

Log On

Go to the ITS Communications and Computing Services website (http://ccs.calpoly.edu/resources/index.html) for instructions on how to logon to X/PTR.

Selecting the Preliminary FAD Report

1. From the J 1 @ 10 Main Activities screen, enter V (View Reports) on the command line. Press ENTER.

1. From the V01: Select Report screen, enter V (View latest reports) on the command line. Press ENTER.

2. From the V30: List Defined Reports screen, enter T (Title) at the command line. Press ENTER.

3. From the V34: Report Title List screen, use the F8 function key to scroll through the list of reports until you find the “FAD PRELIM REPORT”. Tab down to the left of the report, and enter S (Select) under the “Opt” column. Press ENTER.

4. From the R10: Report Title List screen, tab down to the report. Tab down to the left of the report and enter a B (Browse) under the “Opt” column. Press ENTER.

5. The report is now available for viewing. Scroll through the report by using these function keys and commands:

F3 Exit
F6 Move to top of report
F7 Scroll to previous page (page up)
F8 Scroll to next page (page down)
F10 Scroll left
F11 Scroll right
F12 Move to bottom of report
Page ### Move to a specific page
Page +### Move forward a specific number of pages
Page -### Move backward a specific number of pages
F 'string' Find a string of characters in a report
(Note: The 'string' of characters must be exactly as they appear in the report.)

 

Selecting the Final FAD Report

1. The first screen displayed is V01: Select Report.
Enter V on the command line to view the latest reports.
Press ENTER.

2. This will take you to screen V20: View Latest Reports.
Enter T (for Title) at the "Command" line and enter /INST on the "From directory" line.
Press ENTER.

3. This will bring you to screen V22: Latest Reports.
Tab down to choose the correct FAD report term for viewing.

Enter S (to List report versions) under the "Opt" column next to the correct report. Press ENTER.

4. You are now at screen V10: Report.
Reports for each term are listed by the "Created" date. Select the report for the correct year.
Enter a B (to Browse) under the "Opt" column next to the correct report.
Press ENTER.

If you choose a report with the message "RESTORE REQD" contact the Computer Center to restore the information from an archived data tape. The restoration takes a few minutes.

5. The report is now available for viewing. Scroll through the report by using these function keys and commands:

F3 Exit
F6 Move to top of report
F7 Scroll to previous page (page up)
F8 Scroll to next page (page down)
F10 Scroll left
F11 Scroll right
F12 Move to bottom of report
Page ### Move to a specific page
Page +### Move forward a specific number of pages
Page -### Move backward a specific number of pages
F 'string' Find a string of characters in a report
(Note: The 'string' of characters must be exactly as they appear in the report.)

 

Printing a Report

To find your college, enter F 'College -##' (College number) on the "Command" prompt, then press ENTER.
Use the F8 function key to scroll down to your department.

The top right hand corner of the screen shows the page number you are on and the total number of pages in the report.
As you scroll through your department note the page numbers at the beginning and end of your data.

Enter PRT (Print) at the "Command" prompt, and press ENTER.
This will take you to screen P14: Print. Fill in the bold fields, as in the example below, and press ENTER.

Important! If you do not fill in the "From page" and "To page" fields, the entire report will print.

Important! CANCELLING THE PRINT REQUEST:
If you decide at this point (or in the next step) that you do not want to print the report, enter CAN at the "Command" prompt.
Backing out of the screen using the F3 function key (to End) will NOT cancel the printout -- it will print the entire report!

This will take you to screen P20: Print Characteristics. Fill in the bold fields, as in the example below, and press F3.
(The ENTER key will not complete and submit the print request.)

Important! CANCELLING THE PRINT REQUEST:
If you decide at this point (like in the last step) that you do not want to print the report, enter CAN at the "Command" prompt.
Backing out of the screen using the F3 function key (to End) will NOT cancel the printout -- it will print the entire report!

You will be taken back out the report where "Printed" will appear in the top right hand corner of the screen.

Logging Off

1. From within X/PTR, press F3 at each screen until you are back at the main TELEVIEW menu.

2. Enter LOGOFF to exit TELEVIEW.
