The Conference and Event Planning Office within Housing & Business Services offers over 50 programs annually, and services more than 3,000 people of all ages, interests and abilities. Adult education opportunities include conferences, workshops, professional association meetings, and institutes. Many of these programs are sponsored by Cal Poly's academic colleges, thus furthering the mission of offering educational activities to the local, national and international communities.
The Office also conducts a variety of programs for youth ages 5 to 18 years. Youth participate in team building, leadership skills, various athletic camps, test preparation courses, and career and college development skills.
Conference and Event Planning is charged with acting as the University's primary licensing agent for use of campus facilities and services to programs not directly recognized as an academic course. One of the main goals is to meet community needs by licensing facility use for special interest group meetings, athletic tournaments, cultural gatherings, unique learning opportunities, etc.
Conference and Event Planning has an experienced staff who want to help make each gathering a success. This goal is achieved by offering clients a "One Stop Shop" that meets all of their program needs. Conference and Event Planning is prepared to assist clients in the areas listed below. - Budgeting and financial management
- Complete registration services
- Development of registration brochures
- Facility research, reservations, and logistical arrangements
- Catering research, logistical planning and reservations
- Tour arrangements
- Conference Proceedings
- Special equipment needs (staging, sounds, computer imaging, portable bleachers, downlink services, laptops)
- Coordination through Continuing Education and Outreach for Continuing Education Units (CEUs)
- On-site Management
- Summer housing on campus
- Coordination of off campus housing during the academic year
- Risk assessment and management
- Parking and shuttle services
- As a self-supporting unit of California Polytechnic State University, the Office of Conference and Event Planning receives no state or public funding. Fees collected for each program, event, or services rendered go to cover administrative, coordination and sometimes instructional costs. Other charges may be assessed based on your selection of facilities and services.
